How Do I Cancel A Workshop?

We're glad you asked! Klatch has a strict no cancellation policy for published workshops with enrolled learners.  We understand that life happens and that's why we allow facilitators to reschedule a live session for a new date rather than canceling outright. Why?  Canceling workshops tarnishes the reputation of both Klatch and the facilitator in question; at Klatch we aim to ensure all learners have a trusted platform & a seamless user experience. And canceling a workshop after learners have already registered would require you to refund them for their orders which will costa money and time to process refunds. Thus, we make it easy to reschedule -- though we ask facilitators to minimize rescheduling as much as possible to ensure a trusted experience. If a facilitator reschedules more than 3 sessions in less than year, Klatch may review the status of a facilitator.

What Happens If I Cancel a Workshop?

Because we don't allow workshop cancellations once learners have enrolled, we don't have a way for faciltiators to cancel. However, if a facilitator were to cancel a workshop through written notice to it learners and does not immediately attempt to reschedule we may suspend a facilitator's account. Because reliability is so important and affects all other facilitators we take this seriously. Even if you just have 1 or 2 learners, it's important to proceed wit yoru workshop and if you do a good job you can organically build your business through referrals -- we've seen it time and time again.

How Do I Reschedule A Workshop?

Rescheduling workshops on Klatch is a very simple process, and we'll outline it all for you here so you can hold your workshops regardless of any obstacles that come your way.  Here at Klatch we like to emphasize the importance of minimizing the rescheduling of workshops especially after learners have enrolled. In the event of a reschedule and a learner can't make the new time, refunds may be necessary. 

If rescheduling your workshop affects the entire workshop or if the sessions cumulatively build on one other (e.g. you can't understand session 3 without session 1 & 2), a full refund for all orders is required. If the workshop isn't cumulative, then a pro-rated refund is required.  Processing refunds in situations like these are the responsibility of the facilitator.  For more information on our refund policy, click here.

First, before rescheduling your workshop, notify your learners! Post in your workshop's Feed to get feedback on their availability to make sure both you and your learners can make it on the new date/time you have in mind.  When a facilitator posts in the Feed Klatch will send an email to all your learners so they can get back to you as soon as possible on the Feed. What If I Have to Reschedule Last Minute?

In the event that a last minute reschedule of a workshop must be made, it is important to communicate with your learners immediately. When rescheduling last minute, it is best practice to post immediately in the workshop's feed (see steps for posting here), provide a reason for the reschedule, and either: 

A. Propose a new date and time

B. Let your learners know you will follow-up with alternative dates/times

C. If it's well enough in advance, simply ask for feedback on new dates as mentioned above.

Example Posts

Your posts should express that you care for the workshop and your learners. They should provide the learners with a reason for the reschedule to give them security and then give an idea of the future of the workshop.  Here are some examples of how your post should look like:

Good Post 1:

RESCHEDULE NOTICE: Good evening everyone! Unfortunately, we will have to reschedule tonight's session because our guest speaker had an emergency situation arise.  Please reply to this post with your availability for a rescheduling date. A Friday or Saturday evening after 7 PM works best for me but I'm willing to accomodate your schedules. Note that this will not affect our other scheduled sessions. I apologize for any inconvenience this may have caused and look forward to hearing your replies.

Bad Post 1:

Sorry, can't make it tonight. Will reschedule.

Good Post 2:

Good morning everyone! I won't be able to hold our workshop's session on February 28th anymore because of some personal issues that have arisen on that day.  I am planning to reschedule for the following week on March 5th at 8:30 PM. Please get back to me as soon as you can with whether you'll be able to make this date. I apologize once again, and can't wait to see you all soon!

Bad Post 2:

Something came up and I can't hold the workshop on March 3rd anymore. 

What if my learners can't make the new date and time? 

In this case, refunds will be necessary and are to be processed by the facilitator as mentioned above. See our policy here.

How do I reschedule a Session? 

Step 1

After posting in your workshop's feed and deciding on a new date and time, navigate to your workshop and click on the "Sessions" tab (see below).

Step 2

On your sessions tab you'll see all of your current and past sessions for your workshopIf you only have one session for your workshop, then you can't delete it as you must have one session for your workshop to be published.  Instead, click on the add new button shown above to add a new session with a different date. When you click on this button you'll be brought to the page shown below where you can input all the information you need for this new session.

Step 3

Now that you have added the new session for your workshop, you'll see two sessions for your workshop as seen below.  Now you can delete your original session to avoid confusion among current and future learners.  This way learners will see the rescheduled start date and be able to join without any issues.

Step 4

See the image below for an example of how your workshop will appear once you've deleted the old session and added the new one.

Now you've successfully rescheduled your workshop! You can now still hold your planned workshop and keep on Klatching no matter what comes your way! Happy Klatching!
