Below you'll find information on how to market your workshop, how to engage your learners before your sessions start, and how to run your sessions. Welcome to the marketing section of our Getting Started Guide! Immediately after publishing your workshop, it's time to start marketing and attract as many learners as you can. Remember, it's your responsibility to bring or build your audience.

Below, we're quickly summing up these templates but once you click the template link & save it, you'll see clear instructions how to customize these templates even for someone whose never done any design before!

B.) Preparing For Your Live Session

Posting in your Workshop Feed

Posting in your workshop's feed is extremely important to engaging your learners and keeping them updated on what's new with your workshop.  Posting in the feed sends an automated email to all of your workshop's learners to let them know that you've posted.  The feed can be used to do the following:

  • Have conversations with learners
  • Update them on rescheduling
  • Notify learners about new materials
  • Include additional resources

The feed is a powerful tool and we recommend using it often but to use your best judgement. The following are a couple of best practice tips for posting in the feed:

  • Post after you've published with a welcome message greeting all your learners and then post to update and engage with learners.
  • Post in between sessions when running multi-session workshops to keep the conversation flowing and get feedback from your learners for the next time you meet.
  • Keep in mind is that
    • It is important not to overflow the emails of learners either and use the feed as needed. 
    • Klatch's platform automatically reminds learners about your upcoming workshop so posting in the feed is better suited to reminders a week or longer prior to the live session.
    • NOTE: Replies to posts do not trigger emails.

Loading Materials

Our most successful facilitators make efficient use of the materials tab to provide learners with supplemental materials that improve their learning and retention. In addition, we find that facilitators who use this often will have more satisfied, loyal learners.  Here are a few things to keep in mind about the materials tab:

  • The materials tab is especially useful because of its
    • You can create new folders and name them so learners can easily access supplemental resources at any point during the lifetime of your workshop.
    • If you're holding multiple sessions, you can name each folder according to each session of your workshop, allowing for second-to-none organization and further improving the learner experience.
  • Supplemental materials are crucial to improving learning and through the materials tab, Klatch has done the work for you.
    • All you need to do is upload your resources and you've opened your learners up to interactive exercises and unique learning experiences.
    • A workshop's materials can be accessed from the My Workshops page by simply clicking where it says materials. Form there, you can upload files and learners can view what you've uploaded.

C. Running Your Live Session

The Ingredients of a Successful Workshop

Learner engagement is the key to a successful workshop. We have created an in-depth facilitator learning template with golden rules for running your workshop. Below we've outlined how to use this guide so that you have an idea of what to expect:

  • Below is an example of one of the sections found in the facilitator learning template. After following the link, you can download this document and use it to outline your workshop. Some of the sections include the opening (pictured below), exercises, and more! Klatch has done the work for you, just download the document and look forward to having engaged, happy learners!

The following are some of the golden rules you'll find in the facilitator learning template above to engage learners and be successful on Klatch:

  • Speak less than 50% of the time.
    • This is the Klatch golden rule and is the key to ensuring you keep your learners engaged and returning to future workshops.  Structuring your workshops as a collaborative experience promotes hands-on learning and allows learners to better connect with facilitators.
  • Hold interactive exercises.
    • Interactive exercises are important to engaging your learners with the course material and works much better than teaching verbally.  Taking time to split up learners into breakout rooms and reviewing exercises are instrumental in satisfying your learners and being successful on our platform. Taking advantage of the materials tab facilitates learner engagement by making all of your custom course content easily accessible.
  • Hold Q&As and ask for feedback near the end of the session.
    • Receiving feedback is important to learning what your learners enjoy and what you need to work on. Best practice is to have a a Q&A session near the end of the workshop and remind your learners to leave reviews so that future learners will be even more confident in your next workshop.
  • Focus on one goal or idea per session.
    • Focusing on one major idea per session is the best way to keep your learners' attention and make sure they understand what you're teaching.  If you are covering a topic that has multiple steps, break it up into multiple sessions! This makes your sessions much more digestible and will encourage your learners to come back and see the finale!

D. Zoom Tips

Starting Your Session

Starting your live session is a very simple process that is important to know for the day of your session. To start your session follow these steps:

First, navigate to the My Workshops page to view all of your workshops and click on the "sessions" icon to pull up all of your created sessions.

After opening your created sessions, simply click the blue "start session" button to start your live session!

Once you've started your session it's important to keep in mind the ingredients mentioned earlier as well as two of Zoom's important features: the waiting room and breakout rooms.

Test Sessions

A very useful functionality that Klatch has added for all facilitators is the ability to launch test sessions. This is useful for conducting trial runs of your workshop and making sure that your Zoom account works properly before your learners join. We recommend using the launch test session feature before every workshop as a safety precaution to avoid issues on the day of your workshop.


Launching a test session is a simple process that can be completed by following these steps:

  1. First, navigate to your My Workshops page and click on the "sessions" icon.

  2. After clicking sessions, you'll see all the current sessions you have added to your workshop. Click on the "Launch Test Session" button (pictured below) and then click the blue "Start Test" button on the pop-up and your test session ready to go!
