When are workshop proceeds paid to facilitators?

To allow adequate time for reconciliation of any refund requests under Klatch’s Refund Policy, a Facilitator is eligible for payment 10 business days after the last live session of each Workshop they perform. Provided that the workshop was fully delivered and there are no pending disputes, payment will be made on the next payment cycle following the 10 business day holding period. Klatch Facilitator payment cycles are twice per month – on the 2nd and 4th Thursday (by 11:59pm of that day) of each month. 

In cases where such days fall on or in close proximity to a holiday or on a day Klatch is closed, Klatch will pick the next closest reasonable date. Payment dates are approximate and may be subject to reasonable adjustment by Klatch in its discretion. Klatch also may delay all or a portion of a Facilitator Payment due in the event of a dispute involving the Facilitator until such dispute is resolved.

Note that all funds from a workshop will be paid together; if you have a workshop with 5 sessions, all funds will be sent after the workshop.

Klatch will automatically transfer eligible funds into the PayPal account you provide in the Payment Center. It is the sole responsibility of each facilitator to be absolutely sure they have the correct PayPal email there. While a facilitator can update their PayPal email at anytime on the "PayPal" tab of the Payment Dashboard, once a payment has been made to a facilitator it can not be undone and will be considered paid in full, and Klatch disclaims any payment liability. 

Note: While Klatch already covers learner PayPal processing fees, if PayPal charges additional processing fees to transfer money to you as the facilitator, Klatch reserves the right to pass these fees on to you as the facilitator.

Can you provide an example of the above for when a workshop's funds are paid to a facilitator?

We're glad you asked! Sally Sue runs a Python for Beginners workshop that has 3 sessions - May 5, May 12, and May 19. Sally has $717 in total earnings from the workshop.  Since Sally's workshop ends on May 19 and she will get paid the next pay period (the 2nd Thursday or the 4th Thursday of the month) at least 10 business days after the end of the workshop, Sally will be paid the $717 on June 8. Sally should see the "Total Earnings" section on her dashboard increase in near real time but the "Payout Balance" will not increase until approximately 10 business days after the workshop is completed  -- aka if Sally sees Total Earnings increase by $717 but "Payout Balance" shows as "0" it's because the 10 business day waiting period has not passed yet. After the payout date the Payout Balance should reset to 0 within 48 business hours of the payout date.

Now, in this example above, let's say that Sally Sue has a learner request a refund within 3 days after her workshop ends. Sally, as the facilitator, will receive an email that you need to immediately review and approve or deny the refund request (according to Klatch's standardized Refund Policy) which Klatch will then approve. Any refunded amount will be automatically reduced from Sally Sue's Total Earnings and applicable Payout Balance in the Payment Dashboard. Any amount under active dispute by a learner will also be reduced from the Payout Balance until it's been resolved. In the rare case where a refund could be approved after a payout period, a faciltiator's Payout Balance will turn negative and it will be deducted from the next payout cycle OR where the facilitator has no additional workshops, the Facilitator will be responsible for reimbursing Klatch via PayPal wthin 90 days.

Can I see a breakdown of my workshop sales and earnings?

Yes! You can click on the Orders tab of your Payment Dashboard. Check out our Orders Tutorial video for more or our Orders Tab support center article. While we don't generate a report solely per workshop, we do show all your orders across all your worksohps line-by-line in the Orders tab. Click on each order to see a complete breakdown of that order and any payment fees or Klatch fees associated with it. All of your sales and total earnings from every order are automatically calculated in real time in the Payment dashboard.

If you would like to check your total balance or refund requests you can do so by navigating to your Dashboard in the Payment Center:

  1. 1. Log in as a facilitator

    2. Select My Workshops in the drop-down menu on the top right

    3. Select Payment Center on the left 

    4. Select Dashboard and scroll down 

On the Payment Dashboard click on the "?" in the upper right of "Total Earnings" and "Payout Balance" to see how these are calculated. Note that this a sum of all your workshops you are selling.
You will not be paid the funds for orders that have outstanding refund requests. 

Can you explain what each of the sections on the facilitator Payment Dashboard means?

Below are the descriptions provided on the Payment Center Dashboard when you click the "?" icon to the right of the total.

  • Total Sales: This is all sales generated from every order you have sold. However, note that it includes the PayPal processing fee and the Klatch Service Fee so it is NOT an accurate measure of a facilitator's earnings. For that, see Total Earnings.
  • Total Earnings: This is all-time earnings aggregated from all orders since you started at Klatch and is updated in real-time as you book orders. Total Earnings =  Total Sales (which includes everything charged to a learner) - Learner’s PayPal processing fee (3.5% + $0.49) - Klatch Service Fee - any refunds. See the Total Earnings of each individual order by clicking into the “Orders” tab. Pending refunds & processed refunds are not counted in Total Earnings. Please note when Items are refunded Klatch will follow your lead and refund our service fee.
  • Payout Balance: This balance is the portion of your Total Earnings (above) available for payment in the next payout cycle. Klatch will automatically deposit these funds into the PayPal account you’ve provided up to two times per month - on the 2nd and 4th Thursday of each month (by 11:59pm of that day). To provide time for any refunds, your workshop’s funds are only available to be paid in the payout cycle that is at least 10 days after your workshop ends. While Total Earnings updates in real-time, your Payout Balance only updates after the 10 days have passed and is adjusted back to zero within 2 days of those funds being paid. Like Total Earnings, Payout Balance does not include any refunds or pending refunds. 
  • Orders: This is a count of all orders you have sold since you started at Klatch. It never resets.

I see that I was paid in my PayPal account, but there's a PayPal hold - what do I do?

PayPal is a third party payment provider that Klatch uses for transactions at Klatch and to pay our facilitators. PayPal has its own hold policies which Klatch has no control over. Most of the time facilitator payouts go extremely smoothly and money is available in your PayPal account on the payout day. If you are completely new to PayPal or you suddenly increase your volume of transactions, PayPal may require you to provide additional information on your end (e.g. that goods were received) or in some cases they have a hold period for money. Like Klatch, PayPal has protective measures for buyers and sellers to prevent fraud. This is true of nearly all major payment processors.
